Conveyancing Legal Assistant - Redruth Office

We are seeking a dedicated Conveyancing Assistant to join our friendly and fast-paced Redruth office. This role is ideally suited for someone with some prior experience in a conveyancing department or estate agents. 


Role Details:

  • Work Hours: 9:00 am - 5:15 pm, Monday to Friday, totalling 36.25 hours per week. We offer flexible arrangements, including a 4-day week or split hours over 5 days, to support work-life balance (minimum 21.75 hours).

  • Salary: £23,015 to £24,500 per year (based on full-time hours, 36.25 per week), depending on experience.


Key Responsibilities:

  • Administrative Support: Assist fee earners with managing case files, correspondence, and document preparation.

  • Document Management: Prepare and organise essential legal documents related to conveyancing matters.

  • General Office Duties: Contribute to departmental tasks, such as filing, data entry, and other support tasks as needed.

  • Client Communication: Act as a first point of contact for clients; handle incoming enquiries via phone, email, and in person; provide updates on file progress and request further information when required.

  • Quotations & Estimates: Prepare and issue initial quotes and estimates for conveyancing services, ensuring accuracy and compliance with pricing policies.

  • Correspondence Drafting: Draft and send routine letters, emails, and forms, including client care letters, authority forms, and instruction confirmations.

  • Transcription & Dictation: Transcribe audio dictation and produce accurate legal documents and correspondence as directed by fee earners.

  • Case Management System (CMS): Use platforms such as Osprey Approach to open new files, track key transaction milestones, update case progress, and maintain detailed electronic records.

  • Searches & Due Diligence: Arrange property searches through online platforms such as PSG and gather related documentation including environmental, drainage, and local authority searches.

  • Land Registry & Title Documents: Obtain official copies and submit applications via the HM Land Registry portal; assist with title checks and property history documentation.

  • File Preparation for Exchange & Completion: Collate and prepare all required documentation ahead of exchange and completion, liaising with clients, solicitors, and lenders as needed.

  • Post-Completion Support: Assist with submission of SDLT returns, Land Registry applications, and mortgage registration; ensure timely closure and archiving of completed files.

  • Financial Admin: Prepare completion statements, draft invoices, and assist with billing queries in accordance with office procedures and Solicitors’ Accounts Rules.

  • Compliance & Record-Keeping: Maintain up-to-date and compliant file records in line with GDPR, AML, and firm protocols; flag issues to fee earners or the Practice Manager.

  • Microsoft Office Proficiency: Basic experience with Outlook, Word, and Excel.

  • Salary Range: £23,015 to £24,500 per year, with a yearly bonus (based on full-time hours of 36.25 per week).
